Role overview
This is a contract assignment delivered to Microsoft through external staffing partner Allegis Global Solutions. If chosen, you will be employed by AGS rather than Microsoft.
The Applied Sciences team is looking for an energetic, highly organized administrative professional who can thrive in a busy, changing environment and consistently produce accurate, high-quality work. The right person will be a self-starter with excellent attention to detail, strong coordination skills, and the ability to keep several priorities moving at once.
You will support senior leaders with a broad mix of administrative work, often balancing competing deadlines, projects, and stakeholder expectations. The role calls for professionalism, sound judgment, confidentiality, adaptability, and confidence when working through ambiguity or pressure.
Key responsibilities
- Provide broad administrative support to business leaders and their teams in different capacities.
- Prepare meetings and related materials for senior leadership.
- Handle purchasing and coordination for hardware, peripherals, office supplies, reference materials, facility requests, and new hire setup.
- Support onboarding and offboarding activities for employees and vendors.
- Arrange domestic and international shipment of team items and act as the team’s runner when needed.
- Assist with space planning and office relocation activities.
- Maintain alias structures, distribution lists, security groups, and Teams channels.
- Coordinate morale initiatives and team events, especially in a hybrid working environment.
- Work with support staff across the organization to deliver a consistent experience.
- Organize travel, trip preparation, and expense reporting for domestic and international travel.
- Stay effective while managing multiple people, projects, and priorities in a high-pressure setting.
- Use discretion when handling sensitive or confidential information.
What you need
- Ability to stay calm, structured, and focused in a fast-moving environment while adjusting to different working styles.
- Strong planning, organization, time management, and problem-solving skills.
- At least 1 year of experience supporting senior leaders or executives in a dynamic, fast-growing environment.
- Good working knowledge of Microsoft Office, especially Windows and Excel.
- Strong eye for detail and the ability to meet tight deadlines while working independently.
- Excellent written and spoken communication skills.
- Proven ability to manage highly sensitive business and personal information confidentially.
- Proactive, collaborative, and team-oriented approach.
- Customer-service mindset with a positive, can-do attitude.
- Ability to carry out light physical tasks, including lifting up to 25 pounds.
