Position overview
We are seeking a dependable, organized, and people-oriented Administrative Assistant to help keep day-to-day office activity running efficiently. This position supports employees, leadership, and guests by handling essential administrative work and contributing to a professional, welcoming workplace.
The right candidate will be comfortable juggling several priorities, staying detail-focused, and finding practical solutions while maintaining a positive experience for others. This role is well suited to someone who is proactive, organized, and motivated by helping a team succeed.
Key responsibilities
- Deliver day-to-day administrative assistance to managers and other team members throughout the organization.
- Keep calendars organized, arrange meetings, and manage appointment scheduling.
- Field incoming phone calls, reply to email inquiries, and route requests to the right contact.
- Draft, revise, and arrange documents, reports, and presentations.
- Update and preserve filing systems, records, and office paperwork.
- Support data entry work and maintain accurate, current information.
- Help coordinate travel plans, meeting setup, and event logistics when required.
- Track office inventory and order supplies and equipment as needed.
- Greet visitors and contribute to a courteous, polished front-office experience.
- Assist with special projects and any other administrative duties assigned.
Qualifications
- A high school diploma or equivalent is required; further administrative coursework or training is an added advantage.
- Prior exposure to administrative work, office support, or customer-facing service is preferred.
- Excellent organization and time management capabilities.
- Strong written and spoken communication skills.
- Comfort using Microsoft Office tools such as Word, Excel, Outlook, and PowerPoint, along with other office applications.
- Ability to manage sensitive information carefully and discreetly.
- Strong attention to detail paired with sound problem-solving ability.
- Capable of working independently while also contributing effectively in a team setting.
