Role Summary

The Project Coordinator will be essential in scheduling, managing, and tracking various equipment testing and certification projects. Effective communication with clients to build trust and lasting relationships is a core responsibility. Key Responsibilities

  • Manage the reception area by handling incoming calls, greeting visitors, maintaining a guest sign-in register, and ensuring general cleanliness.
  • Track project statuses, coordinate schedules with customers and engineers, and manage laboratory resource allocation.
  • Support Accounts Payable/Receivable by handling invoice payments, monthly expense tracking, purchases, document scanning, record maintenance, and expense reporting.
  • Coordinate with clients to ensure timely booking and commencement of testing programs.
  • Assist the Quality Team with shipping/receiving customer equipment, logging and processing calibration certificates, and maintaining equipment records.
  • Update project management trackers and databases to keep customers and laboratory staff informed; maintain organized project files and digital repositories.
  • Support the Quoting Team by preparing and sending formal quotations, managing customer communications, reviewing purchase orders, and scheduling jobs.
  • Maintain break room and kitchen readiness, including ordering and stocking supplies and managing printer/copier consumables.
  • Perform other duties as required to support laboratory functions.

Requirements & Qualifications

  • Comfort with following detailed Standard Operating Procedures (SOPs) and maintaining precision in documentation.
  • Ability to meet quality system standards and manage multiple priorities effectively.
  • Strong organizational skills and meticulous attention to detail.
  • Excellent interpersonal and communication skills to build rapport with customers and internal teams.
  • Commitment to consistent and accurate work execution.
  • Residency within one hour of Frederick, Maryland.
