Role Overview
This position supports HR and government relations administration by handling employee documents, updating records in internal systems, and assisting with onboarding and permit-related processes. The work is based in Dubai and involves close coordination with multiple internal teams while maintaining strict confidentiality.
Key Responsibilities
- Retrieve new joiner paperwork from approved recruitment and employee platforms, then check each file for completeness, legibility, validity, and format compliance.
- Protect sensitive employee information while verifying confidential data.
- Crop, resize, rename, and store files according to EKFC’s filing and naming rules.
- Organize employee-specific digital folders and place each document in the correct location.
- Flag any missing, expired, unclear, or incorrect paperwork and work with the relevant team to get it corrected.
- Inform the Background Clearance team once the required onboarding documents are ready.
- Record the relevant Background Clearance and onboarding progress in People Connect.
- Download Entry Permit and Change of Status documents from the GDRFA system and upload them to People Connect and approved employee folders.
- Support Airport Pass and Aman system activities, including updating Residence Visa and Emirates ID details.
- Check employee details before making system updates.
- Scan, classify, rename, and file Airport Pass documents, and upload them to People Connect and other approved systems.
- Prepare paperwork for new Airport Pass requests, renewals, and cancellations.
- Assist with urgent employee profile updates in Aman.
- Track applications, renewals, pending items, and completed cases accurately.
- Escalate missing information, incorrect details, and urgent matters to the assigned supervisor.
- Download completed Residence Visa and Emirates ID documents, verify the information, and upload them individually to People Connect.
- Update document status and expiry details in trackers or systems, and help manage high-volume renewal work.
- Clear document download and upload backlogs within agreed timelines, maintain the OHC renewal tracker, and follow up on missing certificates, expired cards, and incomplete records.
- Apply EKFC document retention, filing, and naming standards across all records.
- Keep employee files complete in the approved folder structure and ensure sensitive documents are accessed only for authorised work.
- Never share, copy, download, or move employee information outside approved EKFC systems.
- Support document audits, record checks, and data-cleaning exercises when needed.
- Prioritise urgent work as directed by the supervisor and provide daily progress updates.
- Assist colleagues during annual leave, high-volume periods, or operational emergencies.
- Coordinate with Talent Acquisition, Background Clearance, PRO Operations, Emiratization, Airport Pass, and HR teams.
- Attend team briefings, training sessions, and process-update meetings, and carry out additional administrative or Government Relations support tasks assigned by management.
Requirements
- A diploma, higher diploma, or bachelor’s degree in Human Resources, Business Administration, Computer Science, Information Management, or a similar field.
- Fresh graduates and candidates looking to gain practical experience in HR and Government Relations may be considered.
- Basic understanding of administrative workflows and document control.
- Strong written and spoken English communication skills.
- Arabic language skills are an added advantage.
- Basic familiarity with GDRFA or ICP systems is preferred.
- Arabic reading and typing ability is recommended.
- Working knowledge of Microsoft Excel, Word, and Outlook.
- Ability to scan, crop, rename, convert, and organize electronic documents.
- Comfort using employee systems, online portals, and digital trackers.
- Basic data-entry and document-validation skills.
- Willingness to learn People Connect, Aman, Smartsheet, and authority systems.
- Good keyboard and general computer literacy.
