About the Role
A premier investment firm is searching for a skilled Executive Assistant to provide comprehensive support to several top-level professionals, including Managing Directors, Vice Presidents, and Associates. This role demands partnering closely with executives by fostering trust and discretion while delivering outstanding administrative services in a dynamic work setting.
Primary Responsibilities
- Provide assistance to a New York City team comprising two Managing Directors and five to six other team members at VP and Associate levels.
- Remain adaptable to extend support to additional team members should the group expand.
- Serve as a professional contact point by handling phone communications and messages directed toward clients and investors.
- Manage complex scheduling and calendar arrangements with high volume.
- Coordinate domestic and international travel requirements through collaboration with a travel agency.
- Process expense reports promptly following corporate policies using Concur software.
- Collaborate with the Receptionist to organize and arrange catering for office meetings as required.
- Make reservations for business dining engagements when necessary.
- Assist with obtaining business visas as needed.
- Prepare printed and bound materials for meetings or other purposes.
- Set up video conferencing and presentations for meetings when requested.
- Handle various occasional projects and assignments.
- Provide coverage and support for fellow assistants during absences such as vacations or sickness.
Ideal Candidate Profile
- Bachelor's degree is required.
- At least 3 years of experience as an administrative assistant, preferably within the financial sector.
- Highly polished, professional demeanor with a proactive approach.
- Capable of thriving in a fast-paced environment.
- Superior oral and written communication abilities.
- Proficient in Microsoft Office suite, especially Outlook.
- Experience with Concur software is advantageous.
- Tech-savvy and willing to learn audiovisual systems.
- Excellent organizational skills including strong attention to detail and multi-tasking capability.
- Self-motivated with the ability to independently complete tasks.
- Team-oriented attitude and positive demeanor.
- Flexible work hours with potential for overtime as required.
- Work onsite Monday through Thursday with remote work on Fridays.
Work Schedule and Location
The position’s working hours run from approximately 8:45/9:00 AM until 5:45/6:00 PM. The office attendance requirement is Monday to Thursday on-site with the option to work remotely on Fridays.

Compensation and Benefits
