About Vendome Press
Vendome Press is seeking an enthusiastic Publishing Assistant for a full-time position in Greater London. This role offers a unique chance to engage deeply with the full publishing lifecycle in a leading illustrated book publisher. The successful candidate will collaborate with senior staff from editorial, production, sales, marketing, and publicity departments and be involved in bringing high-quality, internationally distributed titles to market. This position is perfect for those aiming to establish a long-term publishing profession within a creative and fast-moving environment focused on illustrated content, design, lifestyle, and visual arts.
Responsibilities
- Manage the progression of multiple titles through the publishing process, ensuring smooth workflow and adherence to deadlines.
- Coordinate project schedules, monitor milestones, and maintain timelines across various books.
- Draft travel plans occasionally for authors and photographers.
- Prepare sales-related materials including sales sheets, copy, and relevant contract documents.
- Maintain professional communication with authors and contributors.
- Document editorial and project meetings, and follow up on key action items.
- Work with internal teams and external vendors to support production timelines.
- Assist with cost estimates, track expenses, and issue purchase orders as needed.
- Handle logistics such as courier services, shipping, and stock movement.
- Coordinate with distributors regarding purchase orders and ISBN assignments.
- Keep production documents and digital assets systematically organized.
- Support sales and marketing efforts including preparing seasonal sales presentations and organizing marketing collateral.
- Contribute to writing sales copy and positioning materials.
- Monitor sales data and assist with internal reporting.
- Assist publicity campaigns across print, digital, and social media platforms.
- Help organize press kits, mailings, and media contact lists.
- Maintain updated influencer and press contact databases.
- Coordinate event schedules for author appearances and media engagements.
- Compile and track media coverage and responses.
- Manage distribution of advance and complimentary book copies.
- Maintain office calendars, schedule meetings, and support general coordination.
- Organize files, databases, and shared resources for accessible team use.
- Facilitate smooth internal communication among departments to streamline operations.
- Provide general administrative assistance as required.
Candidate Qualifications & Skills
- Possess a Bachelor’s degree or equivalent professional experience.
- Exhibit excellent organizational skills with strong attention to detail and ability to meet deadlines consistently.
- Demonstrate superior written and verbal communication abilities.
- Capable of managing multiple projects simultaneously in a dynamic, fast-paced setting.
- Professional and discreet, working effectively both independently and collaboratively.
- Proficient with Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and Adobe Creative Cloud; some familiarity with Adobe InDesign is beneficial.
- Technically adept with a quick learning curve for new software and workflows.
- Interest in emerging technologies, including AI, with a readiness to learn and implement innovative tools in publishing workflows.
