Job Overview
This full-time position, based in Coquitlam, BC, covers a maternity leave for a period of sixteen months. The Payroll Administrator will be entrusted with managing bi-weekly payroll for over 600 unionized, non-unionized, and hourly employees, ensuring compliance with labor standards and collective agreements. The role demands accuracy, communication, and a proactive approach to payroll processing and reporting.
Primary Duties
- Manage payroll operations for a large and diverse employee group including union and non-union personnel.
- Handle garnishments and off-cycle salary payments efficiently.
- Investigate and resolve payroll discrepancies; respond to T4 documentation queries.
- Maintain personnel records concerning hirings, re-hirings, salary changes, and personal data amendments.
- Process employee terminations and generate Records of Employment (ROEs) timely.
- Coordinate with the team lead to address time and attendance errors.
- Maintain and update the company training portal including removal of terminated employees.
- Conduct payroll and union dues reconciliations and generate relevant seniority and other reports.
- Provide training on Payroll and Time & Attendance systems to new salaried employees.
- Stay current with Employment Standards, union collective agreements, and internal policies and suggest improvements to the payroll guide.
Qualifications & Skills
- Solid foundational knowledge of accounting principles.
- Proficiency in MS Office suite, including Word, Outlook, and intermediate Excel capabilities.
- Strong communication skills both written and verbal with interpersonal adeptness.
- In-depth knowledge of labor laws in British Columbia, Alberta, and Ontario.
- Attention to detail ensuring accuracy and comprehensive reporting and analysis.
- Capable of effectively meeting deadlines and working under minimal supervision.
- Excellent organizational, time management, and problem-solving abilities.
Education & Experience
- Certification or progress towards designation by the Canadian Payroll Association’s Payroll Compliance Practitioner (PCP) is advantageous.
- At least three years of full-cycle payroll experience in high-volume environments involving union and non-union hourly payroll.
- Familiarity with ADP Workforce Now platform is a plus.
- Successful completion of required security and criminal background checks.
