About the Role
Positioned in Jebel Ali, Dubai, this role encompasses regional responsibilities across the Middle East and Africa. Reporting directly to the VP of Commercial Excellence for EMEA and Middle East Africa within the Administrative department, this position plays a crucial part in ensuring seamless daily functioning of the regional office along with providing dedicated executive assistance to the General Manager.
Key Responsibilities
- Oversee and manage day-to-day office activities, including facilities maintenance and workplace services.
- Lead office refurbishment efforts, coordinate office relocations, and implement workplace enhancement projects.
- Develop and maintain strong relationships with vendors, manage service contracts, and supervise external suppliers.
- Handle procurement processes by processing Purchase Requisitions and Purchase Orders via SAP Ariba while collaborating closely with Procurement and Finance teams.
- Communicate and coordinate with hotels, travel agencies, landlords, building management, contractors, and other external partners.
- Organize regional travel plans, accommodations, logistics, and event arrangements.
- Manage office budgeting, inventory of supplies, and maintain administrative documentation.
- Offer executive administrative support to the General Manager, which includes calendar management, travel organization, meeting coordination, and tracking follow-up actions.
- Prepare presentations, business communications, and detailed executive reports while upholding confidentiality standards.
Candidate Profile
- Holds a Bachelor's degree in Business Administration or a similar field.
- Brings at least five years of relevant experience in roles such as Executive Assistant, Office Administrator, or Facilities Manager.
- Possesses practical knowledge of SAP Ariba procurement processes.
- Experienced in managing office operations, vendors, and facilities effectively.
- Well-versed in coordination with hotels, travel service providers, and external stakeholders.
- Exemplary organizational, communication, and stakeholder engagement capabilities.
- Proficient with Microsoft Office suite including Excel, Word, PowerPoint, and Outlook.
- Capable of handling multiple tasks simultaneously with professionalism and maintaining confidentiality.
