Role Overview

We are in search of a proactive Executive Assistant to support our leadership team, focusing on executive logistics, office management, and operational execution. This hands-on, trusted position requires a highly organized, fast-moving individual with a collaborative spirit, dedicated to enhancing the effectiveness of our executives, teams, and office environment. You will be the primary contact for the CEO's logistics, manage day-to-day operations of our Palo Alto office ensuring it remains welcoming and well-organized, and contribute to building scalable systems for company growth. This role requires on-site presence five days a week.

Key Responsibilities

  • Coordinate calendars, plan schedules, and handle logistics for the CEO and CTO, including organizing board meetings, investor sessions, external engagements, and travel arrangements.
  • Engage professionally in communications with diverse stakeholders such as investors, board members, executives, and team members.
  • Oversee event execution including venues, catering, audiovisual setup, materials, and overall experience for conferences and meetings.
  • Manage daily office operations encompassing supplies, vendor relations, facilities, food services, visitor reception, and office readiness.
  • Collaborate with the Chief of Staff in maintaining leadership routines, tracking action items, and ensuring effective follow-through on priority initiatives.
  • Lead special projects and urgent operational tasks with energy, structure, and accountability as emerging needs arise.
