About the Role
The Administrative Officer provides essential support to OnRoute Transport Group’s daily operations, acting as a key link between drivers, customers, and management. This role involves maintaining effective communication, managing records diligently, and addressing operational challenges proactively to ensure safe and compliant transport services.
Key Duties
- Maintain, update, and oversee all operational spreadsheets and registers such as Driver Register, Vehicle Fleet Register, and Booking Log.
- Track expiration dates for driver licenses, DBS certificates, vehicle-related documents, and insurance policies, issuing early reminders when necessary.
- Ensure accuracy and compliance of all company records with SOPs and relevant licensing standards.
- Organize and file both physical and digital documents systematically for easy retrieval.
- Assist in preparing and submitting required compliance paperwork.
- Help develop route schedules, assign driver duties, and manage daily operational plans.
- Serve as the primary administrative contact for drivers regarding daily matters.
- Respond professionally to telephone and email inquiries from parents, carers, schools, and partner organizations.
- Manage customer feedback, queries, and complaints with professionalism and care.
Required Skills and Qualifications
- Experience in administration, office coordination, or customer service roles.
- Exceptional attention to detail with the ability to spot inconsistencies others may overlook.
- Strong organizational skills capable of handling multiple simultaneous tasks.
- Proficiency in Microsoft Excel along with other Office applications including Word and Outlook.
- Confident and courteous telephone communication skills.
- Good written communication abilities.
- High integrity and discretion in managing sensitive personal data.
- Legal authorization to work in the United Kingdom.
