About the Role

We are looking for a dedicated Admin Officer to support daily office operations at our Nottingham location. This permanent, full-time position involves maintaining a safe, orderly, and welcoming environment while managing vendor relations, office supplies, health and safety compliance, and event coordination for a seamless workplace experience.

Key Responsibilities

  • Serve as the main contact point between the office, building management, and external vendors.
  • Coordinate all required monthly and annual maintenance as well as handle unexpected repairs.
  • Order and manage office supplies, including provisions for the coffee machine and canteen.
  • Maintain cleanliness and organization of meeting rooms, storerooms, and stock levels for coffee and related items.
  • Collaborate with the finance department to raise and track purchase orders and manage invoicing and receipts.
  • Monitor company card expenditures and handle associated financial documentation.
  • Act as the Health and Safety Executive for the office floor, ensuring compliance, completing monthly reports, conducting risk assessments, and maintaining all health and safety services.
  • Support the team by addressing miscellaneous issues and organizing corporate events.
  • Manage the electronic keycard access system, including issuing new cards, removing access, and generating usage reports.

Candidate Profile

Essential Qualifications and Skills:

  • Experience in office administration, facilities management, or operational support.
  • Proficient with Microsoft Office Suite and O365 tools (Outlook, Teams, Word, Excel, PowerPoint).
  • Excellent communication skills, highly organized, with strong procurement and budget management capabilities.
  • Able to juggle multiple ad-hoc tasks effectively.

  • Knowledge of Health & Safety regulations including DSE assessments.
