Role Purpose
The Junior Parts Advisor plays a key role in delivering exceptional service to retail customers and workshop staff by accurately identifying parts needs, offering appropriate solutions, and managing orders promptly and efficiently.
Key Responsibilities
- Assist retail and workshop customers in a courteous, professional, and timely manner to identify and select required automotive parts.
- Advise customers on complementary parts and ongoing specials to optimize product exposure.
- Handle incoming phone inquiries, provide pricing quotes, and relevant information thoroughly.
- Review body shop estimates to verify part accuracy and pricing consistency.
- Deliver excellent service standards to both internal teams and external customers.
- Locate, pull, and fill parts orders from inventory or external suppliers, including managing urgent or emergency requests.
- Communicate promptly with service advisors, customers, and body shop regarding parts availability and deliveries.
- Manage back-orders, will-call files, and return uncollected items to vendors or restock as appropriate.
- Maintain assigned inventory levels by replenishing stock daily.
- Ensure proper billing on service repair orders and facilitate payment collection, including credit authorizations.
- Process returns and issue credits, maintaining accurate invoice and pricing records.
- Track and issue requested tools to technicians.
- Organize all paperwork and records including repair orders, invoices, and insurance estimates systematically.
- Prepare daily shipments, deliveries, or pickups timely.
- Conduct account solicitations via phone to support sales growth.
- Maintain clean, organized counter areas and equipment, including computers and printers.
- Actively participate in training programs to stay updated on the latest product knowledge and maintain Toyota standards.
- Assist with lost sales tracking efforts alongside the parts manager.
- Uphold a professional personal appearance and demeanor at all times.
Desired Qualifications and Attributes
- Strong skills in customer service and organisation.
- Proficient computer literacy; experience with AutoView system is advantageous.
- Previous experience as a parts advisor is preferred but not mandatory.
- Genuine passion for the automotive industry and adherence to the Toyota Way culture.
- Highly motivated, with strong work ethics and the ability to self-manage in a fast-paced, multitasking environment with deadlines.
- Flexibility and resilience under pressure to meet tight schedules.
- Effective verbal and written communication skills with confidence in engaging stakeholders.
- Valid driver’s license is required.
