Overview
Our client, a reputable organization within the sales and distribution industry, is seeking a resourceful and detail-focused Executive Assistant to provide comprehensive administrative support to senior leadership members. This role demands exceptional organizational skills, proactivity, and adaptability to efficiently manage various executive needs.
Key Responsibilities
- Efficiently coordinate complex calendars, manage executive email communications, and oversee meeting arrangements.
- Plan and facilitate domestic and international travel logistics, including preparing related expense reports.
- Act as liaison by managing communications between executives and both internal teams and external contacts.
- Anticipate scheduling conflicts or emerging issues and resolve them promptly.
- Coordinate logistics for business meetings, ensuring preparation of materials, agendas, and detailed minutes.
- Create reports, documents, presentations, and handle confidential correspondence with discretion.
- Attend and assist with business meetings, supporting with minute-taking and distribution of information.
- Maintain confidentiality considering sensitive corporate and personal information.
- Provide personalized assistance to executives as their needs evolve.
- Organize logistics for company events occurring throughout the year.
- Take on additional operational projects as required.
Qualifications & Experience
- A minimum of 8 years' experience in a senior executive assistant role is preferable.
- Education credentials including a Degree or Diploma in Office Administration, Business, or a related discipline.
- Event planning experience is advantageous.
- Advanced skills with Microsoft Office Suite, especially strong proficiency in Excel.
- Exceptional organizational abilities, keen attention to detail, and effective time management to handle multiple priorities under tight deadlines.
- Strong communication skills—verbal, written, and interpersonal—with a proactive approach to problem-solving.
- Demonstrated professionalism and discretion in managing confidential information.
- A positive, entrepreneurial mindset with a can-do attitude.
- Ability to travel locally as necessary.
Additional Information
Location: Surrey, British Columbia
Salary Range: $90,000 to $100,000 annually
