Role Overview
As an Executive Assistant at Westpac, you will serve as a trusted collaborator, ensuring smooth executive operations by providing comprehensive support to the State General Manager – Retail NSW/ACT. Your primary responsibilities will include managing diaries and inboxes meticulously, handling communications, coordinating travel, expenses, and organizing events such as town halls and offsite meetings. This full-time position is based in Sydney at Barangaroo with a flexible hybrid work model.
Key Responsibilities
- Manage complex schedules and inbox correspondence to keep executive priorities aligned and well-coordinated.
- Organize travel itineraries, expense reports, and a variety of business events ensuring seamless planning and execution.
- Provide proactive administrative assistance enabling the executive to focus on strategic priorities.
- Facilitate effective communication and follow-up among internal and external stakeholders.
Qualifications and Experience
- Proven background as an Executive Assistant supporting senior executives in fast-paced, multifaceted organizational settings.
- Exceptional skills in diary, inbox, and task workflow management, able to foresee needs and juggle competing commitments efficiently.
- Proficient digital literacy, including advanced use of AI tools alongside Microsoft Outlook, Word, PowerPoint, Excel, and Teams.
- Innovative mindset on leveraging AI to enhance work productivity and efficiency.
- Strong written and verbal communication abilities, combined with keen attention to detail.
- Competent in managing sensitive and confidential information discreetly with solid judgement.
- Experience with coordinating executive-level meetings and events, ensuring high standards and stakeholder satisfaction.
