Role Summary and Key Responsibilities
- Organize and archive all project-related documents, including technical engineering documents supplied by vendors and clients.
- Ensure documents meet formal quality standards and accuracy.
- Maintain document availability in the business database aligned with project schedules.
- Monitor document receipt and delivery schedules when required.
- Create and manage the project technical handbook and archive essential technical documentation.
- Manage incoming and outgoing documents, including external client/vendor submissions.
- Register documents in appropriate logs such as the project document list or vendor submission log.
- Archive verified documents in the eB document management system.
- Prepare and send transmittals to clients.
- Communicate feedback and approvals between vendors and engineering departments, including pushing for document acceptance and technical approvals.
- Report any issues or document deficiencies to the project manager promptly.
- Verify document completeness to facilitate invoice payments.
- Expedite vendor responses and approvals when necessary.
- Ensure ongoing updates and accuracy of project documents and vendor logs as agreed in schedules.
- Monitor and minimize claims related to manual completeness.
Qualifications and Experience
- At least 5 years of experience as a document controller.
- Minimum of 2 recent years working as a document controller in engineering fields such as chemical, mechanical, or oil and gas sectors.
- Any graduate degree required with excellent communication abilities.
- Adaptability to learn new software tools and suggest process improvements.
- Ability to work independently and manage responsibilities effectively.
- Experience with software tools like Aconex, EB, Team Center, or other PLM systems and strong proficiency in MS Office.
