Role Summary
The Payroll Coordinator will support payroll operations for both unionized and non-unionized staff across multiple Canadian provinces, ensuring all activities comply with legislation and internal controls. This position is based in Hamilton, Ontario, and offers annual compensation between $50,000 and $60,000.
Key Responsibilities
- Assist in managing payroll processing for hourly and salaried employees across Alberta, British Columbia, Saskatchewan, and Ontario, covering 11 union groups.
- Support complete payroll cycle activities such as generating T4s and Records of Employment.
- Conduct audits of payroll data to verify accuracy and adherence to policies.
- Create and update payroll-related reports utilizing Excel and internal platforms.
- Process payroll accurately using the Payworks system.
- Maintain organized and up-to-date payroll records handling data entry, calculations, and reporting.
- Collaborate with field sites to verify and correct time entries and provide assistance when necessary.
- Manage employee adjustments and changes with proper authorization and adherence to deadlines.
- Safeguard confidentiality of sensitive employee payroll information and comply with privacy standards.
- Track changes in employee status including exemptions, job roles, and department assignments.
- Monitor employee attendance, vacation, leaves, and overtime data.
- Respond professionally to payroll inquiries from employees, finance teams, and government bodies.
- Support internal and external audits by supplying required payroll documents.
- Investigate and resolve any payroll discrepancies via detailed data analysis.
- Assist with remittance processing such as Workers' Compensation and union dues.
- Ensure timely preparation and submission of monthly benefit remittances including group insurance and RRSP contributions.
- Promote a cooperative and professional work culture contributing to positive team dynamics.
Qualifications
- Post-secondary education in Payroll Administration, Accounting, Finance, Human Resources, Business, or related discipline preferred.
- Minimum two years of full-cycle payroll experience, ideally supporting multi-provincial operations.
- Experience processing payroll for both hourly and salaried employees.
- Preferred experience handling unionized payrolls and interpreting collective agreements.
- Knowledge of year-end payroll processing including T4s, T4As, ROEs, and statutory remittances advantageous.
- Experience with payroll audits, reconciliations, and reporting.
- Understanding of Canadian payroll legislation and employment standards across provinces is a plus.
- Proficiency in payroll software; Payworks experience is highly desirable.
- Strong skills in Microsoft Excel including formulas, pivot tables, and data analysis.
- Preferred expertise in processing benefit and pension remittances, union dues, and Workers’ Compensation payments.
- Excellent analytical skills, meticulous attention to detail, and problem-solving capability.
- Ability to prioritize work effectively and meet strict payroll deadlines.
