Job Overview
We are looking for a meticulous and well-organized Office Assistant specializing in Shipping and Outbound Logistics to manage and support order fulfillment and shipment operations efficiently. You will be responsible for order processing, coordination with warehouses and carriers, and ensuring all products are delivered on time and accurately.
Key Responsibilities
- Review weekly orders and process them for timely shipment.
- Maintain daily communication with warehouses, carriers, and customers using EDI, email, and telephone.
- Handle customer order routing and processing with accuracy and efficiency.
- Prepare and organize essential shipping documentation such as Bills of Lading, packing lists, labels, and freight papers.
- Submit shipping confirmations and Advance Shipping Notices through EDI platforms.
- Monitor shipment progress and resolve delivery or shipping issues proactively.
- Keep precise records of orders, shipments, and inventory.
- Perform administrative duties including data entry and support functions as required.
- Facilitate coordination between sales, purchasing, and warehouse teams to guarantee timely order fulfillment.
- Assist with ensuring compliance with customer and retailer requirements and routing guides.
- Participate in special projects and additional tasks as assigned.
Cross-Functional Collaboration
- Collaborate closely with Sales, Purchasing, Customer Service, and Warehouse departments to ensure seamless fulfillment processes.
- Contribute to optimizing logistics workflows and operational efficiency.
- Support activities related to inventory tracking and reconciling shipments.
Required Qualifications
- Prior experience in roles related to shipping, logistics, order processing, customer service, or administrative functions.
- Proficient in Microsoft Office tools, especially Excel, Outlook, and Word.
- Excellent organizational abilities with strong attention to detail.
- Effective communication skills in written and spoken English.
- Ability to prioritize and manage time efficiently in a fast-moving environment.
- Strong critical thinking and problem-solving capabilities.
- Self-driven, dependable, and capable of working independently.
Preferred Qualifications
- Hands-on experience with EDI systems.
- Familiarity with shipping and freight documentation.
- Knowledge of retailer compliance and routing instructions.
- Experience using QuickBooks accounting software.
- Background in supply chain management, logistics, distribution, or warehouse operations.
Additional Information
This is a full-time remote role with candidates required to be located in the Philippines, Colombia, or South Africa.
