Role Overview

We are seeking a dedicated Compliance Coordinator to join our Kalgoorlie team on a full-time basis, providing essential administrative assistance and supporting operational and maintenance activities in the Class 1 explosives area.

Core Responsibilities

  • Manage and maintain up-to-date compliance documentation, including Class 1 explosives records, registers, checklists, forms, and evidence packets ensuring readiness for audits.
  • Oversee safety documentation such as pre-start checks, corrective action logs, toolbox meeting records, consultations, inspections, and incident/hazard reports specific to explosives operations.
  • Facilitate HSE compliance by supporting site safety protocols, Chain of Responsibility controls, dangerous goods and explosives transport regulations, and client HSE reporting.
  • Coordinate safety communications including toolbox talks, safety alerts, access requirements, and supporting documentation for operational teams, drivers, and supervisors.
  • Track and maintain licenses, security clearances, appointments, inductions, training records, medical clearances, and competency certifications related to explosives handling.
  • Maintain various compliance registers encompassing training matrices, personnel data, vehicle and container records, customer or site access details, and action item tracking.
  • Assist with internal audits, client assurance processes, regulatory inquiries, and manage closure tracking and evidence compilation.
  • Ensure the integrity and accuracy of data within trackers, SharePoint directories, spreadsheets, and business systems in alignment with document control and retention policies.
  • Handle confidential personnel, security, and explosives-related information with appropriate discretion, access control, and escalation procedures.
  • Proactively identify improvements in compliance workflows, filing systems, checklists, forms, and reporting to enhance operational control.
  • Support safety and risk mitigation by flagging missing documentation, expired credentials, incomplete forms, discrepancies, security issues, and other compliance risks promptly.

Candidate Profile

  • Experience in administrative or compliance roles within logistics, transport, resources, mining, civil construction, or comparable industries.
  • Familiarity with safety support, audit processes, training, induction, licensing, permitting, and site access management is highly desirable.
  • Exposure to Class 1 explosives, dangerous goods, heavy vehicle regulations, security-sensitive, or regulated transport operations is a strong advantage.
  • Understanding of safety administration including hazard and incident documentation, corrective action follow-up, toolbox communications, and audit evidence gathering.
  • Excellent attention to detail with proven ability to maintain precise records, registers, and evidence packages.
  • Strong organizational and time management skills to prioritize critical deadlines and ensure completion of follow-up actions.
  • Proficiency in Microsoft Office suite (Word, Excel, Outlook, Teams), SharePoint, or similar document management tools.
  • Effective communication skills with the ability to liaise confidently with drivers, supervisors, clients, and external stakeholders.
  • Ability to work independently, uphold confidentiality, and promptly escalate compliance concerns.
  • Demonstrated dedication to safety, security, Chain of Responsibility adherence, and meticulous record keeping.
  • Capability to provide a National Police Clearance and satisfy site, client, and security-related pre-employment requirements.
