Role overview
This Warehouse Coordinator position with Rhenus Logistics is based in Christchurch, Canterbury, New Zealand and is a full-time on-site role. The role focuses on coordinating warehouse customers, handling order flow, supporting inventory accuracy, managing documentation, and keeping communication smooth across warehouse, operations, and transport teams.
Customer account management
- Act as the main point of contact for assigned warehouse clients.
- Reply quickly to questions about stock, delivery progress, receipting, and order status.
- Share updates on inbound receipts, dispatches, and available inventory.
- Manage client expectations and escalate operational issues when needed.
Order and inventory coordination
- Enter and manage inbound and outbound warehouse orders in the WMS.
- Work with warehouse staff to coordinate picking, packing, and dispatch.
- Track stock levels and inform customers if discrepancies are found.
- Arrange transport bookings for outgoing deliveries.
Documentation and compliance
- Handle delivery orders and warehouse paperwork accurately.
- Maintain records for bonded cargo and MPI transitional cargo in line with TFO responsibilities.
- Support adherence to NZ Customs and MPI warehouse requirements.
- Make sure warehouse staff receive the correct handling instructions.
Billing and reporting
- Check that storage, handling, and value-added services are billed correctly.
- Assist with preparing invoices and resolving billing-related queries.
- Send customers regular stock and activity reports.
Service improvement and communication
- Look for ways to improve service quality and workflow.
- Help onboard new warehouse customers.
- Keep communication aligned between warehouse, operations, and transport teams.
- Join customer review meetings when required.
Experience and skills needed
- At least 2 years of experience in warehousing and/or forwarding operations.
- At least 2 years of customer service experience.
- Hands-on experience with Warehouse Management Systems (WMS).
- Strong written and verbal communication skills.
- Good organisational ability and strong attention to detail.
- Ability to manage several customer accounts at once.
- Intermediate skills in Microsoft applications such as Excel.
Preferred background
- Knowledge of NZ Customs and MPI warehouse processes is an advantage.
- Experience organising transport bookings would be useful.
- Previous exposure to bonded facilities or transitional cargo handling is desirable.
