Role Overview
We seek a methodical and professional Personal Assistant to support the CEO remotely. This role is central to ensuring the efficient handling of the CEO's daily schedule and strategic undertakings. Responsibilities encompass calendar management, communication coordination, meeting preparations, and travel organization, executed with discretion and efficiency. It presents a valuable opportunity for motivated, detail-conscious individuals passionate about social impact and holistic healing.
Qualifications
- Bachelor’s degree in Business Administration, Communications, or a related discipline preferred but not mandatory
- Documented experience supporting C-level executives as a personal or executive assistant
- Excellent organizational and time management capabilities
- Strong interpersonal and communication skills
- Fluent proficiency in English; professional proficiency in Spanish highly advantageous
- Competence in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and relevant applications
- Exceptional attention to detail and accuracy
- Trustworthy with sensitive information, maintaining confidentiality and integrity
- Flexible and adaptable amid shifting priorities
- Strong critical thinking and problem-solving aptitude
- Ability to operate independently and collaboratively within a fast-paced environment
Key Responsibilities
- Manage and coordinate the CEO's calendar including meetings, appointments, and travel plans
- Optimize the CEO’s time to align with organizational goals and priorities
- Act as the primary liaison for internal and external contacts, screening communications accordingly
- Prepare, edit, and review documents, reports, and presentations on behalf of the CEO
- Compile agendas and materials to ensure the CEO is ready for meetings
- Attend meetings with the CEO, record minutes, and follow up on action points and deadlines
- Arrange detailed travel logistics including booking flights, accommodations, and local transport
- Develop comprehensive travel itineraries ensuring all requirements are met smoothly
- Maintain confidentiality and exercise discretion in handling sensitive information
- Assist the CEO in special projects and organizational initiatives as required
