Job Overview
The Executive Assistant will deliver dedicated organizational support to senior executives within Investment Banking. This role demands a solutions-focused approach, proven ability to build robust relationships with colleagues, and skill in managing numerous tasks simultaneously in a highly dynamic and fast-moving environment.
Key Responsibilities
- Maintain and coordinate the senior executives' schedules and calendars, ensuring critical business deadlines are met with appropriate prioritization.
- Show initiative by anticipating the needs of bankers and providing assistance proactively.
- Provide timely updates on the progress of essential deliverables.
- Perform recurring administrative duties such as arranging meetings and conferences calls, organizing travel, making restaurant reservations and catering, as well as handling document scanning.
- Prepare, monitor, and manage expense reports using the expense reporting system.
- Daily review and processing of approval requests on items like meeting materials and reports.
- Maintain well-organized digital and physical filing systems.
- Keep track of vacation and absence records accurately.
- Serve as backup support for other department team members whenever needed.
- Engage in special project assignments as required.
Qualifications and Skills
- Minimum secondary education with at least five years of executive assistant experience supporting senior management in a professional services environment.
- Excellent verbal and written communication skills for internal and external interactions.
- A proactive, solutions-oriented mindset with an ability to anticipate requirements without prompting.
- Strong partnership and relationship-building skills with key stakeholders.
- Demonstrated accountability and execution in core responsibilities.
- Exceptional time management capabilities complemented by diplomacy and a positive, can-do attitude.
- Consistent high performance and ability to operate under pressure.
- Comfortable working within tight deadlines and a fast-paced setting.
- Ability to juggle multiple projects concurrently and adapt flexibly as needed.
- Experience handling highly confidential matters discreetly and sensitively.
- Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
- Previous experience in the Capital Markets sector is advantageous.
