Role Overview
The Bid Coordinator will take charge of steering the bidding process, ensuring discipline, speed, and quality at every stage. This role manages the transition from sales to delivery, handling multiple pursuit milestones, coordinating experts, and maintaining a high standard of proposals to successfully secure contracts.
Key Responsibilities
- Create and sustain detailed pursuit plans outlining key milestones, responsibilities, review points, and deadlines.
- Use delegated authority to hold sales, subject matter experts, and delivery managers accountable for timely and quality deliverables.
- Manage the qualify and pursuit gate processes, maintaining clear and reliable status visibility for sales, delivery, and finance teams.
- Oversee Sensei's entire sales collateral library, including proposals, case studies, capability statements, pricing structures, and standard offerings.
- Collaborate with marketing to encourage effective use of approved collateral and track usage metrics.
- Coordinate the process of writing, editing, formatting, and finalizing proposals.
- Maintain pipeline integrity by enforcing CRM discipline and providing dependable sales pipeline data.
- Organize win/loss analyses following significant pursuits and distribute findings to relevant teams.
Qualifications and Experience
- Minimum of 3 years experience in bid coordination, proposal management, sales operations, or project coordination within B2B professional services or technology consulting.
- Proven ability to manage several simultaneous pursuits with stringent version control and quality assurance.
- Skilled in influencing and enforcing process adherence and standards among stakeholders.
- Experience administering and promoting a repository of content and sales collateral.
- Exceptional attention to detail coupled with strong writing, editing, and communication abilities to adapt technical content for executive audiences.
- Excellent organizational skills, proactive approach, and ability to unblock obstacles for the team.
- Knowledge of Microsoft Copilot, AI-assisted drafting tools, or low-code automation in sales/proposal contexts is highly desirable.
- Familiarity with CRM systems such as Dynamics, HubSpot, or Salesforce, and document management platforms.
- Exposure to managed services, transformation projects, or digital advisory solutions is advantageous.
