Role Overview
The Bid Coordinator acts as the central operational figure in driving the bid process efficiently from outset to contract signature. This role involves managing timelines, coordinating contributors across sales and delivery teams, and ensuring proposals meet the company's exacting quality standards and deadlines.
Key Responsibilities
- Develop and oversee comprehensive bid pursuit plans detailing milestones, responsibilities, review stages, and deadlines.
- Use allocated authority to ensure stakeholders including sales leads, subject matter experts, and delivery managers meet commitments on time and quality.
- Manage critical decision points such as bid/no-bid qualification and pursuit gate reviews, maintaining a unified source of truth across sales, delivery, and finance teams.
- Curate and control the sales collateral library including proposals, case studies, capability statements, pricing models, and offerings, ensuring consistent use through partnership with Marketing.
- Lead the coordination of proposal drafting, editing, formatting, and final production for submission.
- Maintain accurate and disciplined CRM and sales pipeline data by ensuring team adherence to process standards.
- Conduct win/loss analyses following significant pursuits and integrate insights into ongoing improvement efforts.
Required Skills and Experience
- Minimum three years’ experience in bid or proposal management, sales operations, or project coordination, preferably in B2B professional services or tech consulting.
- Proven ability to manage numerous simultaneous bids with strong version control and quality assurance.
- Competence in guiding stakeholders to comply with processes and standards through influence and authority.
- Experience managing content or collateral libraries and encouraging their use among teams.
- Exceptional attention to detail coupled with excellent editing, writing, and communication skills capable of structuring technical content for executive audiences.
- Highly organized with a proactive approach to follow-through and resolving blockers.
- Familiarity with Microsoft Copilot, AI-assisted writing, or low-code automation related to proposals is desirable.
- Experience using CRM systems such as Dynamics, HubSpot, or Salesforce along with document management tools.
- Background in managed services, digital advisory, or transformation offerings is an advantage.
