Job Overview
This position entails delivering extensive administrative assistance to Partners, Associate Partners, and other senior leadership members at KPMG. The role operates as a communication bridge between leadership and both internal and external parties. A high level of organizational competence, confidentiality, professionalism, and the ability to juggle various priorities simultaneously are essential.
Key Duties
- Coordinate and manage calendars for leadership by scheduling meetings and appointments.
- Organize meetings, prepare necessary materials, book conference rooms, and arrange catering services.
- Handle all travel logistics including booking flights and accommodations, as well as preparing itineraries and travel documents.
- Track multiple projects, gather updates across departments, and communicate on behalf of leadership via phone and email.
- Manage expenses through preparation of reports, receipt tracking, and compliance with company policies.
- Update and approve internal tools such as Rekonnect timesheets, Converge, and Happay on behalf of leaders.
- Offer general administrative support including seat reservations, document management like Statements of Work, and ordering office supplies.
- Welcome visitors and coordinate with stakeholders across various time zones and cultures.
- Create meeting agendas and document meeting minutes.
- Plan and oversee events such as Townhalls, CSR initiatives, celebrations, leadership and new joiner engagements.
- Prepare basic MIS reports, dashboards, and presentations for leadership.
- Engage proactively in strategic business initiatives, aiming for measurable impact.
- Identify and implement process improvements for routine administrative activities to optimize cost, time, and quality.
- Provide support to leaders operating across various time zones or those managing complex dual roles.
Qualifications
The candidate should hold a Bachelor's or Master's degree.
