About The Role
This role primarily involves managing the switchboard, handling both internal and external calls, delivering information to callers, and efficiently relaying messages. You will welcome visitors, ensuring their security passes are correctly issued and connecting them with the appropriate host. Booking and coordinating meeting rooms is another key responsibility, including taking reservations, monitoring meetings, and collaborating with the operations team to ensure rooms are prepared correctly. Additionally, you will arrange courier and taxi services, manage receipt and dispatch of consignments, and maintain a tidy and welcoming reception area with replenished materials.
The position requires excellent customer service skills backed by strong verbal, written communication, and interpersonal abilities. Having knowledge of facilities management processes and solid organizational and administrative skills to prioritize work efficiently is important. Proficiency in Microsoft Office tools such as Word, Excel, PowerPoint, and Outlook is expected. The role demands multitasking capabilities, problem-solving skills, and a flexible approach while maintaining discretion and confidentiality.
