Role Overview
Jacksonstone Recruitment Ltd is looking for a detail-oriented and experienced Office Administrator / Accounts Assistant to manage daily office operations and deliver administrative, accounting, and executive support. This multifaceted position demands outstanding organisational skills and the capacity to juggle various duties within a dynamic work environment.
Key Duties
- Oversee office management tasks and maintain communication with suppliers and service vendors to ensure smooth facility operations.
- Assist with financial administration functions including managing accounts payable, tracking expenses, completing VAT returns, performing monthly bank reconciliations, and maintaining precise financial documentation.
- Support project-related administrative tasks, notably preparing and submitting tender and project materials.
- Coordinate with the external accountant and aid in audit procedures by providing necessary administrative assistance.
- Arrange travel logistics such as booking flights, accommodations, and local transport, and prepare comprehensive itineraries for staff.
- Provide personal assistant services to senior management encompassing diary organization and meeting scheduling.
- Offer general administrative support to the wider team to facilitate a productive office environment.
- Keep filing systems well-structured and ensure all administrative processes are current and accurate.
- Assist in organizing meetings, company events, and other office activities as required.
Qualifications and Experience
- At least four years of prior experience in an office administration position.
- Demonstrated capability in office management, administrative support, accounts assistance, and travel or event coordination.
- Exceptional organisational skills and time management coupled with meticulous attention to detail.
- Strong communication skills, both written and verbal, enabling effective collaboration with internal teams and external contacts.
- Ability to operate autonomously while also contributing positively to team efforts.
- Proficient in Microsoft Office; experience with accounting or financial software is essential.
- A proactive, adaptable, and positive attitude, showing readiness to assume responsibility and ownership.
- Competence in managing multiple priorities and deadlines within a fast-paced environment.
