About the Role

This permanent Wellington-based position involves supporting the Occupational Regulation team managing complaints, licensing, and registration across diverse occupational sectors such as Electrical Workers, Licensed Building Practitioners, Immigration Advisers, Motor Vehicle Traders, Auctioneers, and Pool Inspectors. The role encompasses comprehensive case management and administrative duties to facilitate high-quality Board and complaint processes.

Key Responsibilities

  • Support statutory Boards, investigators, and stakeholders by preparing cases for Board review.
  • Organise and coordinate meetings and hearings, including agenda preparation and documentation management.
  • Record detailed and accurate minutes during meetings and track follow-up actions.
  • Manage correspondence and maintain organised case files while ensuring timeliness and accuracy.

Candidate Profile

The ideal candidate is an organised, proactive administrator with a keen eye for detail, strong judgement, and the ability to handle confidential information discreetly. Experience working with Boards, committees, or panels in a formal decision-making environment is highly valued. Candidates should be efficient at multitasking and prioritising under deadlines while maintaining professional communication standards.

Required Skills and Experience

  • Proven experience supporting senior decision-making groups such as Boards and committees.
  • Strong relationship management capabilities engaging with Board members, legal advisors, and senior personnel.
  • Competence in preparing meeting materials, coordinating events, minute taking, and action tracking.
  • Ability to effectively manage sensitive correspondence, inboxes, records, and case documentation.
  • Exceptional organisational skills, attention to detail, and capacity to prioritise competing tasks.
  • Sound judgement and discretion in handling confidential information.
  • Excellent written and verbal communication with a professional working approach.
  • Good computer proficiency, including Microsoft Word, Excel, Outlook, Adobe Acrobat Pro, and case or document management software.
  • Legal eligibility to live and work in New Zealand is mandatory.
