Role Overview
This role, working remotely within Canada, involves managing supplier relationships, contract lifecycle processes, and sourcing activities in a global and fast-paced environment. The Sourcing Specialist supports procurement operations by ensuring compliance with organizational policies, maintaining accurate supplier information, and coordinating contract administration.
Key Responsibilities
- Manage supplier contracts, documentation, and relationship records to adhere to organizational and client compliance standards.
- Assist in contract negotiations, organize bid events, and support sourcing initiatives by preparing necessary documents and materials.
- Coordinate contract modifications, renewals, service provider transitions, and supplier updates in collaboration with suppliers and internal stakeholders.
- Maintain precise supplier and contract data within procurement and data management systems.
- Ensure timely and accurate completion of supplier onboarding and due diligence processes.
- Administer various supplier files including contracts, insurance certificates, amendments, and official correspondence.
- Address queries related to contract processes and provide operational support via procurement technology platforms.
- Monitor and enforce sourcing and contracting policy compliance and governance standards.
- Collaborate with legal and risk management teams to guarantee contractual terms and updates conform to required standards.
- Maintain comprehensive, audit-ready records by tracking communications, approvals, and documentation.
- Support risk management activities concerning insurance certificates, compliance platforms, and supplier documentation.
- Serve as the initial contact for supplier compliance administration issues and facilitate resolution of exceptions.
- Prepare detailed requests for proposals (RFPs), including specifications, requirements, and bidding documents.
- Evaluate supplier bids, assist in negotiations, and help determine acceptable agreements.
Candidate Requirements
- Experience in procurement, sourcing, contract administration, supplier management, or related operational roles.
- Understanding of contract lifecycle management and supplier relationship management best practices.
- Familiarity supporting contract negotiations, bid processes, and RFP activities.
- Strong skills in managing documentation, ensuring data accuracy, and maintaining compliance.
- Experience with procurement systems, contract databases, or supplier management platforms.
- Knowledge of risk management procedures, supplier onboarding protocols, and compliance documentation.
- Ability to collaborate cross-functionally with legal, operations, suppliers, and business stakeholders.
- Excellent organizational abilities to manage multiple concurrent projects and deadlines effectively.
- Outstanding written and verbal communication skills.
- High attention to detail in maintaining accurate records.
- Analytical mindset for issue identification and process enhancement support.
- Ability to work independently in a remote setting while fostering strong stakeholder relationships.
