Role overview
An established construction client in Cork is hiring an experienced Site Administrator to keep a busy project office running efficiently. The position focuses on administrative coordination, document control, site communication, and day-to-day support for project and safety teams.
Key duties
- Set up, maintain, and continuously update the central record system for all site data, documents, and operational paperwork.
- Handle health and safety coordination on site, including inductions for employees, subcontractors, and service providers.
- Act as the point of contact with the Health & Safety Authority.
- Assist safety staff in carrying out the Safety Management System.
- Arrange site audits and weekly monitoring visits.
- Serve as Client Liaison Officer on allowances, extras, specifications, and general queries.
- Oversee handover files connected to property registration.
- Manage certification and registration records, including Homebond, Operation & Maintenance, Quality, Environmental, and BCAR documentation.
- Prepare progress updates for Project Managers.
- Complete documentation in line with ISO requirements.
- Process materials and plant orders via the procurement team and ensure purchase orders are raised.
- Plan site deliveries and help maintain efficient operating levels.
- Check deliveries, sign them off, and reconcile orders against delivery dockets.
- Enter GRNs in the COINS system.
- Keep site logs, reports, and registers up to date.
- Organise site inductions and maintain attendance and personnel records.
- Track safety equipment and PPE registers.
- Coordinate hiring and off-hiring of plant with site management.
- Deal with site enquiries and provide a professional welcome to visitors.
- Carry out general administration such as scanning, filing, typing, email handling, meeting coordination, and basic Excel tasks.
What the employer is looking for
The ideal candidate will bring at least 3 years of experience in a site administration role within a construction office or a similar environment. Strong MS Office ability is essential, and prior exposure to COINS is helpful though not mandatory. The role also requires a solid understanding of health and safety legislation, excellent organisation, accuracy, communication skills, and the ability to work independently or as part of a team.
