Job Summary

We are seeking a diligent and well-organized Receptionist cum Admin to facilitate the daily workflow of our real estate office in Dubai. This position entails managing front desk duties, supporting property listing processes, assisting the sales team with administrative tasks, and maintaining efficient office operations.

Key Responsibilities

  • Greet and assist clients and visitors courteously and professionally.
  • Handle incoming calls, emails, and queries, directing them appropriately.
  • Organize meeting room bookings and upkeep of the reception area.
  • Manage courier services and all office correspondence, incoming and outgoing.
  • Offer administrative assistance to sales, leasing, and property management teams.
  • Create, update, and maintain accurate property listings on portals including Property Finder, Bayut, Dubizzle, and the company website.
  • Verify correctness of property details, availability, pricing, and documentation prior to publication.
  • Collaborate with agents to gather property data, images, and necessary documents.
  • Ensure listings comply with Dubai real estate advertising standards and portal regulations.
  • Maintain comprehensive records of listings, tenancy agreements, client files, and company documents.
  • Coordinate with PROs, developers, maintenance contractors, and service vendors as required.
  • Monitor office inventory and arrange procurement of supplies when needed.
  • Assist in generating reports, presentations, and other office paperwork.
  • Support onboarding procedures, document collection, and additional assigned administrative duties.
  • Protect confidentiality of sensitive company and client information.

Candidate Requirements

  • At least 1 to 2 years of experience in administration or reception, preferably within UAE’s real estate sector.
  • Familiarity with real estate platforms such as Property Finder, Bayut, Dubizzle or closely related portals.
  • Proficient in CRM software and Microsoft Office applications including Excel, Word, and Outlook.
  • Excellent communication skills and interpersonal capabilities.
  • Strong organizational skills and ability to multitask effectively.

  • Capacity to thrive in a dynamic environment and meet deadlines consistently.
