Role Summary
The Purchasing Clerk supports the purchasing team by handling administrative and operational tasks involved in procurement. This role ensures smooth purchase order processing, supplier communication, and record maintenance to guarantee timely availability of necessary goods and services.
Key Duties
- Create and process purchase orders adhering to company policies.
- Verify purchase requisitions for accuracy and completeness before processing.
- Maintain organized purchasing files, records, and supplier documents.
- Liaise with suppliers to obtain quotations, track order statuses, confirm delivery timelines, and manage invoices.
- Assist in sourcing and comparing supplier prices and quotations.
- Monitor pending orders to ensure on-time delivery.
- Update purchasing databases with relevant order, supplier, and delivery information.
- Coordinate procurement activities with the warehouse, finance, and other internal departments.
- Cross-check purchase orders, receiving reports, and invoices for correctness.
- Support management of the supplier database with accurate record updates.
- Compile purchasing reports and summaries as needed.
- Provide daily procurement assistance to the Purchasing Officer or Supervisor.
Qualifications and Skills
- Diploma or bachelor’s degree in Business Administration, Supply Chain Management, or related disciplines is preferred.
- Prior experience in purchasing, procurement, or administrative office support is advantageous.
- Fundamental understanding of purchasing procedures and necessary documentation.
- Effective communication and coordination capabilities.
- Exceptional attention to detail and precision in work outputs.
- Strong organizational skills able to handle multiple duties efficiently.
- Proficient in Microsoft Office, especially Excel and Word.
- Experience with ERP or purchasing software is preferred.
