Job Overview
The Project Coordinator role supports Project Managers and Superintendents through all construction phases: from project initiation through execution, oversight, reporting, and closeout. Responsibilities include coordinating project activities, maintaining thorough documentation, aiding project controls, and ensuring timely, safe, and efficient completion of projects.
Key Responsibilities
- Assist with bid preparations, tendering, and evaluation processes.
- Manage subcontract agreements and purchase order preparation.
- Support permit and utility application procedures and site service coordination.
- Conduct quantity take-offs and track costs meticulously.
- Contribute to project scheduling and communication plan development.
- Organize and maintain all project documentation such as RFIs, site instructions, submittals, change requests, and change orders.
- Monitor project progress relative to budgets and timelines.
- Assist in procurement and coordinating subcontractors.
- Attend project meetings; record and distribute minutes.
- Follow up on action items across project stakeholders.
- Support QA/QC implementation and program maintenance.
- Maintain accurate records and organized filing.
- Assist in productivity monitoring and project reporting.
- Coordinate final inspections, deficiency resolution, and project turnover including owner training and O&M manual compilation.
- Handle punch list tracking, utility shutdown coordination, and temporary facility removal.
- Ensure all project documents are completed and properly archived.
- Build and sustain positive working relationships with clients, consultants, subcontractors, suppliers, and internal teams.
- Comply with company safety policies, industry standards, and regulatory guidelines.
- Engage in continuous improvement initiatives and promote Lean Construction approaches.
- Foster a cooperative and positive workplace culture.
Qualifications
Education: Bachelor's degree, diploma, or a two-year post-secondary certificate in Construction Management, Civil Engineering Technology, Architectural Technology, Construction Engineering, Project Management, or a related construction field.
Experience: At least 2 years in a Project Coordinator or comparable position within commercial, industrial, institutional, or civil construction sectors.
Skills

- Ability to interpret construction drawings, specifications, and contracts.
- Analytical mindset with problem-solving strengths.
- Capability to manage multiple tasks in fast-paced, deadline-driven environments.
- Proficient with Microsoft Office Suite.
- Experience with Procore software is advantageous.
- Knowledge of Last Planner System® and collaborative pull planning is a plus.
- Familiarity with construction contracts and project control methodologies.
Work Environment
- Role involves a mix of office-based work and site visits.
- Periodic travel to project sites may be required.
- Ability to perform effectively under tight deadlines and handle competing priorities.
Compensation and Benefits
Annual salary ranges from $132,000 to $140,000, subject to yearly review and adjustments for inflation, merit, and performance, and dependent on applicant qualifications and experience.
