Role Overview
The Payroll Officer is responsible for managing the complete payroll cycle across the entire Group, guaranteeing timely and precise payments to employees while ensuring adherence to labor laws, company policies, and financial controls.
Key Responsibilities
- Execute the monthly payroll process completely and accurately within set deadlines.
- Ensure payroll operations comply with labor legislation, statutory obligations, and internal policies.
- Validate documentation for new hires, transfers, and terminations before payroll processing.
- Implement salary adjustments, allowances, deductions, and benefits correctly and punctually.
- Maintain and update the Human Resource Information System (HRIS) to keep employee data accurate and audit-ready.
- Verify the accuracy of payroll-related data regarding benefits, deductions, and entitlements.
- Organize HR files and monitor leave balances across all company locations.
- Prepare and review payroll documentation, obtaining necessary approvals before forwarding to the Accounting department.
- Perform payroll reconciliations, including verification of headcount, general ledger entries, and bank statements.
- Identify discrepancies and resolve or escalate payroll exceptions appropriately.
- Audit and process timekeeping, attendance, and leave records prior to payroll periods.
- Ensure leave accruals and balances are correctly managed and recorded.
- Calculate and process final settlements for outgoing employees accurately and on time.
- Collaborate with relevant departments to finalize all payroll obligations upon employee exit.
- Act as the primary contact for employees regarding payroll, attendance, and HRIS inquiries, maintaining confidentiality and professionalism.
- Analyze HR and payroll data to detect trends and propose enhancements to payroll processes.
- Assist in broader People & Culture initiatives and projects when needed.
Candidate Profile
- Demonstrated experience handling full payroll processing and HRIS management, preferably in hospitality or multi-location settings.
- Strong expertise in applicable labor regulations, payroll compliance, and financial reconciliation.
- Meticulous attention to detail with the capacity to manage large payroll volumes under tight deadlines without errors.
- Ability to manage sensitive information discreetly and ethically.
- Analytical aptitude combined with proficiency in HR/payroll software and advanced Microsoft Excel skills.
- Effective communication skills to liaise efficiently with People & Culture, Finance, and operational teams.
