Overview
The Lead Contract Administration position is crucial for executing strategic contract plans, negotiating terms, and ensuring thorough compliance with contractual obligations. This role involves managing contract preparation, review, and amendments while collaborating closely with project managers and stakeholders to align contracts with project objectives and timelines. The lead also mentors team members to optimize contract management efficiency.
Key Responsibilities
- Manage the complete contract lifecycle including drafting, reviewing, modifying, and ensuring timely execution with necessary approvals.
- Develop and implement contract-related business strategies focusing on operational efficiency and effectiveness.
- Handle various contract types such as fixed-price, cost-reimbursable, time and materials, and performance-based contracts, tailoring management practices accordingly.
- Conduct detailed research on market trends and best practices for contract and service delivery enhancement.
- Oversee Non-Financial Assessments preparation ensuring accurate and complete documentation for decision support.
- Monitor contract performance, compile and analyze data to generate periodic reports and dashboards for management review.
- Ensure submissions of financial and regulatory documents to relevant authorities timely and with accuracy.
- Maintain strict adherence to legal, regulatory, and policy compliance across all contracts.
- Evaluate risks related to contract terms and propose mitigation approaches.
- Support tender processes including BOQ identification, defining scopes, contractor selection, and negotiation facilitation.
- Manage contract claims promptly, collaborating with legal and other departments to minimize financial and operational risks.
- Review and authorize official written communications associated with contract administration, maintaining professionalism and clarity.
- Initiate dispute identification and resolution through mediation, ensuring documentation and follow-up for process improvement.
- Promote performance and quality systems within contract teams and ensure compliance with standards to improve project outcomes.
- Champion brand protection and positive corporate image in stakeholder engagements.
- Ensure timely payments to contractors and vendors fostering strong business relationships.
- Drive continuous improvement by reviewing contract necessity and renewal based on performance assessments and project needs.
- Coordinate resource sourcing including labor, machinery, and materials to enhance operational workflows.
- Lead workforce development initiatives, recruit appropriate personnel, and strategize development plans for contract team members.
Qualifications and Experience
- Bachelor's degree in Business Administration, Law, Finance, or relevant disciplines.
- Project Management Professional (PMP) certification.
- Certified Contract Manager (CCM) credential preferred.
- Minimum 12 years of professional experience in contract administration or a related sector.
