About the Role
We are looking for a meticulous and well-organized IT Office Administrator to join our team. In this position, you will oversee the daily administrative functions within the IT department, ensuring smooth communication and coordination across technical teams, office personnel, management, and external partners. Your duties will include managing schedules and appointments, overseeing office resources, handling training administration, coordinating onboarding and offboarding processes, maintaining records, and ensuring compliance with company policies to facilitate an effective IT office environment.
Key Responsibilities
- Efficiently schedule and manage appointments and meetings for supervisors and team members.
- Serve as the primary contact point for internal and external stakeholders by managing phone calls, emails, and visitor inquiries.
- Organize meetings, conferences, and travel logistics for staff members, ensuring all arrangements are seamless.
- Assist in planning office events such as staff meetings, training sessions, and social activities.
- Provide consistent day-to-day administrative support for the IT department, including operating and troubleshooting office equipment to ensure smooth operations.
- Implement and uphold processes and systems that support strategic HR initiatives across various HR functions.
- Coordinate the onboarding and offboarding of team members and contractors.
- Manage office supplies and equipment inventory, ensuring stock levels are adequate and replenishing items as necessary.
- Maintain and organize electronic and paper-based filing systems to ensure accurate and easy access to records.
- Collaborate with training providers and HR Training on training matters and carry out routine learning administration activities.
- Manage coordination of the organization's products and services by liaising with vendors and stakeholders, overseeing learner records, and updating learning management systems.
Qualifications and Skills
- Bachelor's degree in Business Administration, Business Management, Accounting, or a related discipline.
- 2 to 5 years' experience in administrative roles or managing IT support operations, ideally within a relevant sector.
- Excellent communication and interpersonal skills to foster effective collaboration within the IT department and across other business units, promoting a positive workplace culture.
- Strong problem-solving, organizational, and decision-making abilities paired with solid knowledge of office management policies and procedures.
- A proactive, team-oriented approach with willingness to take initiative.
