Role Overview

The Intake and Engagement Coordinator plays a critical role in supporting prospective patients by facilitating their access to care through outreach, engagement, and free consultation sessions. Reporting directly to the Intake and Engagement Manager, this position suits individuals with hands-on experience or training in reproductive or maternal health, who are compassionate and motivated to assist patients individually to obtain the care they need.

Primary Responsibilities

• Conduct 25-minute telephone consultations with potential patients for four hours daily, including assessing compatibility with our care model, normalizing patient experiences, explaining therapy processes, addressing queries, verifying insurance eligibility, and enrolling patients on our platform.
• Handle incoming patient intake calls and texts for two hours each day, coordinating patient engagement and scheduling consultations.
• Lead patient outreach efforts via calls, SMS, and email communications.
• Help patients complete intake forms efficiently.
• Maintain precise and compliant patient records in Hubspot CRM, ensuring data privacy standards are met.
• Track patient engagement and conversion metrics to inform improvements.
• Engage in continuous training to keep skills and knowledge current.
• Suggest improvements to operational processes as necessary.

Candidate Profile

• Possession of at least a high school diploma or equivalent, with any additional healthcare administration coursework seen as beneficial.
• Minimum two years of experience in healthcare customer service or patient engagement roles.
• Exceptional communication and interpersonal skills tailored to patient interactions.
• Strong organizational skills capable of managing multiple tasks simultaneously.
• Proficiency with healthcare-related software and CRM platforms.
• Understanding of HIPAA guidelines and patient confidentiality requirements.
• Prior direct experience working with behavioral health patients.
• Comfort working in high volume patient interaction or call environments.
