Fleet Supervisor - Logistics

Role Overview

This role involves overseeing the comprehensive daily operations of the company fleet with the goal of maximizing vehicle availability, ensuring strict compliance with regulations, and maintaining cost efficiency. Responsibilities include managing vehicle administration, preventive maintenance, repairs, accident handling, driver performance monitoring, and resource management to sustain minimal downtime and high uptime targets.

Key Duties and Responsibilities

• Manage vehicle registration, insurance policies, and renewal processes to ensure all documentation is current and compliant.
• Maintain statutory compliance by keeping traffic files, employee IDs, and vehicles free from infractions.
• Monitor licenses, permits (road, delivery, vehicle branding), and coordinate timely renewals to avoid disruptions.
• Administer E-Wallet systems such as Salik and Darb to manage balances and transactions efficiently.
• Analyze daily vehicle usage patterns to schedule and execute preventive maintenance minimizing breakdowns.
• Conduct regular vehicle inspections to guarantee optimal serviceability and coordinate with custodians for timely maintenance execution.
• Physically receive vehicles from drivers, verify job cards before any repair or maintenance work begins.
• Maintain an uptime target of 98% for the fleet at all times.
• Oversee garages by inspecting vehicles that need part replacements, authorizing parts used, and ensuring repair quality and spare parts standards.
• Coordinate with garages for quick approval of repair quotes, invoice handling, and reduce repair backlogs with efficient workload management.
• Monitor repair turnaround times (TATs), report on monthly achievements, and investigate any delays.
• Manage accident claims by coordinating with the admin and insurance teams for surveys and repair approvals to ensure cost-effective solutions.
• Track and control fleet operational costs by generating detailed reports and managing purchase orders via ERP systems.
• Collaborate with garages proactively to plan spare parts inventory to avoid service delays.
• Calculate and control cost per kilometer aligning with industry benchmarks.
• Supervise GPS monitoring systems to uphold operational efficiency and safety compliance.
• Maintain accurate fleet data dashboards using Excel and other reporting tools to provide insights and support decision-making.
• Assess and onboard new drivers, monitor attendance, overtime, and leave to maintain smooth fleet operations.
• Manage vehicle handover and takeover processes while resolving any disputes that arise.
• Ensure all drivers adhere to prescribed health, safety, and quality standards, including proper use of personal protective equipment and following SOPs.
• Lead driver motivation and development efforts to increase productivity and maintain high performance standards.
• Continuously review technical and administrative processes to identify areas for improvement and implement best practices.
• Improve garage operations by planning systems to enhance efficiency, quality, and turnaround times.
• Provide ongoing training, coaching, and technical support to team members.
• Prepare comprehensive monthly technical, administrative, and management information system (MIS) reports for senior leadership.
• Implement mechanisms to log, monitor, and address operational issues promptly with corrective actions.
• Report on employee performance and workshop productivity regularly to higher management.

Qualifications and Experience

• Diploma or Bachelor's degree in Mechanical Engineering, Automotive Engineering, or a related discipline.
• At least 4 to 6 years of practical experience in fleet management within distribution, logistics, or FMCG sectors.
• In-depth knowledge of UAE RTA regulations relating to vehicle registrations, insurance, permits, and compliance requirements.
• Demonstrated expertise in preventive maintenance planning, coordination with workshops, and repair turnaround management.
• Strong grasp of fleet cost control methods.
• Proven ability to manage drivers, ensure adherence to safety standards, and work effectively with garages, vendors, and internal teams.
