Primary Responsibilities
- Manage and coordinate complex calendars and daily appointments, making independent decisions when required.
- Plan and adjust intricate travel itineraries thoughtfully, considering possible impacts on priorities and resolving conflicts with flexibility.
- Provide timely and confidential administrative support including organizing timesheets and expense reports.
- Build and maintain strong working relationships within the firm and with client offices through excellent interpersonal skills.
- Exhibit an energetic, proactive, and helpful approach, supporting colleagues and acting as a backup during their absence.
- Engage actively in team, office, and firm-wide events and meetings.
- Oversee all administrative tasks related to the firm's leadership from an office in India.
Required Skills and Qualifications
- Between 2 and 10 years of pertinent work experience.
- Proficiency with Microsoft Word, Excel, PowerPoint, and Outlook.
- Comprehensive knowledge of travel-related services such as air and train tickets, hotel bookings, car rentals, passports, visa processing, foreign exchange, and international credit cards.
- Capability to organize and execute large meetings and conferences spanning multiple time zones and diverse cultures with professionalism and calmness.
- Professional phone etiquette with an executive presence, able to manage calls promptly, take detailed messages, and respond appropriately.
- Sound judgment and pragmatic problem-solving abilities.
- Strong multitasking skills with the ability to collaborate effectively in high-pressure, deadline-driven environments, tolerating ambiguity well.
- Excellent communication skills, both written and oral, to ensure high-quality interactions and outcomes.
Additional Information
The position includes a six-month probation period and requires onsite presence in one of the offices located within India. The role emphasizes strict confidentiality and demands a proactive and positive attitude to support various teams.
