Role Overview
The Executive Assistant role is a full-time, on-site position located in Jeddah. This role offers comprehensive administrative and organizational support to senior leadership. Core duties include managing calendars, scheduling meetings, arranging travel, preparing correspondence and presentations, overseeing expense reports, maintaining confidential records, and ensuring smooth planning and execution of meetings and events. The Executive Assistant serves as a primary communication liaison between executives and stakeholders, handles inquiries, drafts professional correspondence, and ensures timely follow-ups.
Responsibilities
- Manage executives' calendars and coordinate meetings effectively.
- Organize and plan business travel arrangements.
- Prepare correspondence, presentations, and other documentation.
- Track and reconcile expense reports in line with company policies.
- Handle confidential information with discretion.
- Serve as a communication link between leadership and internal/external parties.
- Ensure prompt and professional follow-up on requests and inquiries.
Qualifications and Requirements
- Demonstrated executive administrative support skills, including calendar management and confidential handling.
- Proficient in administrative tasks such as document preparation, filing, office coordination, and task tracking.
- Experience in preparing and tracking expense reports with understanding of corporate policies.
- Strong written and verbal communication skills for interacting with diverse stakeholders.
- Preferably holds a diploma or bachelor's degree in Business Administration or a related discipline.
- Excellent organizational and time-management skills coupled with high discretion.
- Proficiency in MS Office suite (Word, Excel, PowerPoint, Outlook).
- Prior experience supporting senior executives within real estate, hospitality, or corporate sectors is advantageous.
