About the Role and Team

Join Walt Disney World as an Event Solutions Coordinator, a vital member of the Event Solutions team focused on bringing the Disney brand to life through exceptional event experiences. You will collaborate across Disney Destinations, Sales, and Marketing departments at Walt Disney World and other Disney resorts, supporting events that showcase Disney's signature magic. The role involves managing event reservations, supporting key partners, and providing comprehensive event services to guests.

Key Responsibilities

  • Oversee and regularly review timelines to guarantee alignment with event goals.
  • Manage the complete registration process, including guest profile creation and updates, RSVP tracking, and booking travel and accommodations.
  • Generate and disseminate internal communications such as meeting summaries, event updates, action items, budgets, timelines, merchandise inventories, executive summaries, demographic analyses, SOPs, and training resources.
  • Prepare and send event materials including Save the Dates, invitations, confirmations, welcome kits, badges, and amenities.
  • Follow procedures for asset handling including receipt, distribution, reconciliation, and returns.
  • Provide guest support via phone and email across multiple communication channels.
  • Coordinate hospitality desks and onsite check-in stations during events.
  • Manage financial processes tied to events, including payment processing, invoice creation, revenue reporting, billing tracking, and monthly account reconciliations.
  • Handle merchandise transactions securely, confirm payments, and manage orders for returns or cancellations.
  • Organize distribution of ticketing media and parking passes.
