Dental Receptionist

Role Overview

We are seeking a Dental Receptionist to deliver a welcoming and efficient reception service to visitors attending the Dental Department/Clinic. The successful candidate will sustain a friendly and sensitive approach to all patients and visitors while supporting operational excellence.

Key Responsibilities

• Greet and receive all patients and visitors arriving at the clinic.
• Collect and verify patient details accurately using the Epic system.
• Provide general information about services and guide patients and healthcare professionals on referrals and how to access these services.
• Arrange, cancel, and reschedule appointments for specialist nurses and consultants within Epic, ensuring outcomes are documented accordingly.
• Utilise secure chat tools to communicate effectively with clinicians and wider clinical teams during clinic hours.
• Collaborate with clinicians and multidisciplinary teams to ensure smooth clinic workflow.
• Monitor waiting lists automatically generated through clinicians' orders.
• Review End of Day reports to identify any unsigned visits and escalate these to the Service Manager for completion.
• Use multiple Epic work queues for appointment management, such as scheduling new appointments, cancellations, rebookings, and DNA (Did Not Attend) handling.
• Contact patients to agree appointments while verifying patient details in work queues.
• Support patient self-booking through MyChart by enabling appointment date and time selection based on waiting list triggers.
• Schedule appointments in accordance with access policies, adding relevant comments to appointment records.
• Manage appointment communications via SMS confirmation and reminders as part of clinic setup.
