Overview
This full-time Clerical position located in Ozark, AL is primarily focused on front office and receptionist duties within a healthcare facility. The role is designed for an individual who has completed on-the-job training and is capable of managing office tasks that support efficient facility functioning.
Key Responsibilities
- Manage general clerical functions including daily recording of patient charges and assisting with deposits.
- Coordinate and schedule patient appointments, ensuring prompt availability and accommodating work schedules where possible.
- Maintain comprehensive patient medical records, including arranging 30-day re-evaluations and Medicare re-certifications.
- Handle collection and tracking of patient deductibles and copayments daily.
- Answer phone calls promptly with a courteous greeting, take messages when necessary, and assist callers professionally.
- Process dictation and distribute necessary documentation such as Medicare re-certifications to referring physicians.
- Assist new patients by collecting essential information such as contact details, diagnosis, referral sources, and insurance data. Perform insurance verification and pre-authorization especially for workman’s compensation cases.
- Welcome and check in patients by preparing charts, gathering required documents, and alerting treatment staff about readiness.
- Handle patient check-outs, reviewing accounts, explaining insurance coverage, setting up payment agreements, collecting co-payments, and scheduling follow-up visits.
- Perform any other duties assigned by Office Manager or Clinical Director.
Qualifications and Requirements
- Successful completion of twelfth-grade education is mandatory.
- Prior experience working as a secretary or receptionist is essential.
- Possesses the ability to accept responsibility and respect authority.
- Demonstrates sound judgment, common sense, and the ability to work effectively under pressure.
- Accepts constructive criticism positively and maintains confidentiality regarding patient medical records.
- Ability to work with patients across all age groups.
Special Demands
The role requires discretion in handling confidential medical records and a professional demeanor when interacting with patients and staff. Telephone etiquette and customer service skills are crucial.
