Job Summary
The Business Operations Coordinator will oversee the monitoring, management, and control of business operations to ensure alignment with customer expectations and company objectives. This position is fully remote; specific details regarding location and expectations will be discussed during the interview.
Key Responsibilities
- Prioritize safety as the foremost responsibility, ensuring all employees adhere to safe working practices.
- Support Service Managers in the daily coordination and management of operational business activities.
- Oversee business operations to fulfill client requirements and organizational goals.
- Act as liaison between clients and management to facilitate smooth operations delivery.
- Coordinate and manage project tasks, ensuring delivery within budget and designated timelines.
- Ensure conformance with company policies and procedures.
- Develop and maintain strong customer relationships through regular communication and meetings.
- Lead internal project meetings with multiple stakeholders, documenting minutes accurately.
- Schedule and attend external project meetings, recording meeting details appropriately.
- Manage and resolve multiple high-priority project issues efficiently and timely.
- Assess current operational performance and propose strategic improvements.
- Provide guidance and direction to internal teams to achieve performance targets.
- Identify operational process issues and resolve them promptly.
- Follow standardized operating procedures to optimize business operations.
- Maintain clear, accurate operational documentation and procedures for future reference.
- Perform essential administrative tasks, including establishing and maintaining project filing systems.
- Assign and verify cost codes for vendor invoices.
- Prepare and document extra work orders and notify subcontractors of change orders, ensuring follow-up.
- Prepare subcontracts and purchase orders as required.
- Assist Service Managers in monthly job profitability reviews and collaborate with teams to meet profitability objectives.
- Track, review, and approve or reject CMMS work orders for invoicing purposes.
- Create invoices for Project Manager review and approval before submission to clients.
- Evaluate and recommend process improvements, work with new technologies, and coordinate with management on implementation.

Minimum Qualifications and Experience
- A minimum of 2 years of experience in contracts and change order management.
- Possession of a High School Diploma or GED equivalent.
- Basic familiarity with Enterprise Resource Planning (ERP) systems.
- Ability to exercise independent judgment and proactively initiate tasks.
- Strong skills in fostering collaboration across teams.
- Experience working in a diverse, multi-disciplined employee-owned company is advantageous.
- Effective communication skills to translate vision into actionable plans.

Compensation
The salary for this role ranges from $60,632 to $75,732.80 annually.
