Position summary

This role is responsible for keeping office operations running smoothly and serving as the primary contact for the assigned Nestlé site(s) in Dubai. The position involves overseeing daily workplace and facility activities, coordinating suppliers, reinforcing company workplace guidelines and green initiatives, and sharing feedback on facility management vendor performance. It may also include support for real estate-related work and capital projects such as office relocations or refurbishments, along with tracking office consumables and handling related administrative tasks like PR, PO, and GR creation. The role also helps ensure financial targets are achieved and contributes to budget forecasting.

Key duties

  • Create and roll out a site-level plan based on operational gaps and local business needs.
  • Support facility health and safety activities in coordination with the in-house SHE team.
  • Translate regional and country goals into local objectives, including portfolio efficiency, workplace standards, and sustainability targets where relevant.
  • Prepare yearly site budgets based on contracts, service agreements, maintenance plans, and asset replacement plans.
  • Ensure approved annual budgets are not exceeded and work toward assigned savings goals.
  • Manage petty cash.
  • Track spend and cost allocations in owned cost centers, and coordinate required updates with the F&C organization.
  • Oversee fixed asset transfers after project completion and take part in annual asset inventory checks.
  • Monitor facility services against KPI requirements and the scope, payment terms, and change terms of local FM contracts.
  • Prepare regular performance reports and reviews to assess third-party service provider operations.
  • Understand local health and safety rules and ensure compliance with applicable laws and Nestlé standards.
  • Monitor landlord obligations, including maintenance and repair of critical building assets and fire safety compliance.
  • Organize end-user surveys at site level, analyze the feedback, and prepare recommendations.
  • Coordinate local workplace communications with the internal Communications team, business stakeholders, and end users.
  • Implement sustainability goals where applicable, monitor energy usage, and encourage sustainable building practices.
