Job Overview
The Assistant Director for Facilities Operations & Safety at Estates is charged with ensuring smooth and safe campus facility operations, managing both daily activities and overall safety oversight.
Key Duties
- Oversee and coordinate daily campus operations alongside the Facilities Management team.
- Conduct regular site inspections to verify operational readiness, safety compliance, and satisfactory vendor service delivery, including safety audits.
- Manage procurement processes, tendering, contract administration, and maintenance of facilities systems.
- Follow up on safety and incident-related actions and ensure strict adherence to all relevant safety laws and regulations.
- Represent Facilities Management in key event planning and user engagement dialogues.
- Lead continuous process improvements by reviewing and approving policies, procedures, and operational strategies; advising on technical facility systems and pursuing automation opportunities.
- Prepare financial and budget forecasts to aid in decision-making for operational initiatives and campus facilities services.
- Engage in procurement activities for necessary services and goods while complying with organizational policies.
- Build and maintain effective relationships with internal stakeholders and external vendors, providing guidance on operations and fostering teamwork.
Qualifications and Experience
- Degree in Engineering, Architecture, Building Services, Facilities Management or related disciplines.
- At least 15 years of substantial and validated experience in facility management or building maintenance.
- A minimum of 7 years in managerial roles demonstrating leadership capability.
- Comprehensive knowledge of local workplace safety and health regulatory requirements.
- Preferred certifications or qualifications include FSM, GMM, GMFM, SCEM, Safety Coordinator/Supervisor/Officer, LEW electrician or technician certification, and/or a Master’s degree.
- Proficient in Microsoft Office suite.
- Self-motivated and resourceful with strong teamwork skills.
- Excellent organizational, administrative, analytical, communication, writing, and interpersonal abilities.
- Ability to adapt to change and diversity in a fast-paced environment, delivering results within short timelines.
