Position Overview
This role involves providing extensive administrative and logistical assistance to the Dean, executing a wide range of operational and administrative tasks with minimal supervision, relying on independent judgment and proactive initiative.
Primary Responsibilities
- Drafting various official documents for the Dean, including correspondence, presentations, reports, agendas, and memos, while managing sensitive and confidential information.
- Assisting the Dean in financial processes such as budget planning, management, submissions, and preparing expense reports.
- Helping to develop and produce College of Education publications like reports, brochures, and invitations.
- Collaborating with the College Administrative Officer to oversee internal control measures, perform financial analyses, and handle account management and reconciliation activities.
- Managing the Dean’s schedule, travel plans, mail, supplies, and communication within and outside the institution.
- Organizing meetings, events, and appointments, coordinating notifications, venue bookings, equipment, and catering needs.
- Facilitating collaboration between different Colleges, school districts, and external organizations.
- Engaging effectively with university executives, state agencies, and various school districts for operational purposes.
- Preparing and disseminating multiple narrative and statistical reports on monthly, quarterly, and annual schedules.
- Ensuring confidentiality regarding university personnel, research, and grant matters.
- Maintaining and updating College-specific operating procedures.
- Executing special projects and assignments as directed by the Dean.
Autonomy and Working Environment
The role demands independent work capability along with confidence to interact collaboratively with faculty and staff. Innovation and creativity are encouraged to fulfill responsibilities effectively.
Collaboration and Communication
Regular liaison is required with university colleagues, emphasizing professional and accurate communication throughout all duties.
Qualifications and Experience
- Bachelor’s degree from an accredited institution.
- At least two years of experience in administrative roles, or equivalent education and experience combination.
- Strong verbal and written English communication skills; Arabic language proficiency preferred.
- High proficiency in Microsoft Office Suite (Excel, PowerPoint, Outlook); familiarity with graphic design software is a plus.
- Experience preparing payment requisitions and reimbursements for professional development, internships, and external reviewers.
- Ability to quickly learn and manage Zayed University’s web management software.
- Knowledge of office management systems and administrative procedures.
