Job Overview

We are seeking a skilled ServiceM8 Virtual Assistant to provide comprehensive support to Australian trades companies. This role involves managing scheduling, job tracking, customer communications, and administrative tasks through the ServiceM8 platform.

Primary Duties

Organize and update job statuses using ServiceM8 software
Schedule technician appointments and manage dispatches effectively
Create and dispatch quotes, invoices, and purchase orders in a timely manner
Keep detailed customer profiles and accurate records of job activities
Serve as a communication point between customers, suppliers, and onsite technicians
Track the progress of ongoing jobs to ensure deadlines are met
Offer administrative and operational assistance as needed

Candidate Requirements

Prior hands-on experience as a ServiceM8 Virtual Assistant supporting Australian businesses
Strong proficiency in the ServiceM8 platform is essential
Background supporting trades industries such as Plumbing, Electrical, HVAC, Fire Protection, Security, or Cleaning within Australia
Understanding of Australian-specific scheduling, dispatch, and workflow procedures
Excellent communication skills, both spoken and written in English
High attention to detail along with effective time management and organizational abilities
Capable of working independently with minimal oversight

Preferred Qualifications

Familiarity with accounting software such as Xero, MYOB, or QuickBooks
Experience in roles encompassing customer service, scheduling, dispatch, and invoicing
Knowledge of Australian trades terminology and operational flows
Prior remote work experience with Australian clients
