Job description

Job Summary

This position is responsible for managing the receipt, recording, registration, transfer, and disposal of fixed assets within the Fakeeh Care organization. The role ensures that all asset movements are documented accurately, processed promptly, and comply fully with company policies and regulatory standards.

Key Duties and Responsibilities

  • Liaise daily with the Purchasing Department to monitor new purchase orders and follow up on any incomplete documentation.
  • Conduct a three-way verification of received goods against purchase orders and invoices to confirm price, description, and quantity alignment.
  • Complete receiving forms meticulously and secure signatures from custodians.
  • Coordinate with the Biomedical department to obtain acceptance forms approved by Biomedical management for applicable items.
  • Maintain a detailed Excel log of all received items categorized by purchase order, receipt number, supplier, barcode, department, date, and location, saving monthly records in a shared folder.
  • Generate Goods Receipt Notes (GRNs), distribute to Purchasing and Accounts Payable departments, and procure their signatures.
  • Enter GRNs into Oracle Mass Addition system with proper categorization including cost center, location, and custodian information.
  • Monitor Capital in Progress (CIP) transactions to ensure receipt confirmation and asset capitalization upon utilization.
  • Verify incoming asset transfer and disposal requests, ensuring item descriptions and barcodes match.
  • Review and coordinate asset transfers, assign custodians, update systems, and compile management summaries of transfers and disposals.
  • Ensure that technical assessment reports for disposal items are completed and signed by appropriate technical management.
  • Engage with scrap buyers to obtain at least three price quotations, manage approval through the Scrap Committee, oversee payment processes, and supervise removal of scrap items.
  • Keep the Property Control stockroom organized and oversee the Scrap Cage as custodian.
  • Investigate fixed asset damages beyond normal wear and tear and report findings to the line manager.
  • Contribute to physical inventory counts and participate in additional projects as assigned.

Required Skills and Experience

  • Proficient in Microsoft Office applications including Word, Excel, and PowerPoint.
  • Exceptional attention to detail combined with strong ability to meet deadlines.
  • Competent in preparing comprehensive reports.
  • Relevant experience for Officer level: 0 to 2 years in fixed asset or inventory management roles.
  • Relevant experience for Senior Officer: minimum 3 years in fixed asset or inventory control.

Educational and Language Requirements

  • Bachelor's degree in Accounting, Finance, or a related field.
  • Fluent in both spoken and written English and Arabic.
