About Planned Systems International and Role Overview
Planned Systems International (PSI), a government contractor, is hiring a Project Coordinator to assist on the Department of Veterans Affairs (VA) Independent Enterprise Testing and Support Services (IETSS) contract. The IETSS program provides Independent Verification and Validation services supporting the Electronic Health Record Modernization Integration Office and other key VA Office of Information and Technology modernization initiatives. This initiative focuses on software lifecycle activities, enterprise testing, and quality assurance to ensure effective technology solutions for Veterans. This position plays a vital role in managing and improving Testing Logistics Services across the program.
Core Responsibilities
- Manage coordination of project operations across multiple workstreams ensuring alignment with overall program goals, timelines, milestones, and deliverables.
- Assist project managers and leadership by tracking project plans, risks, issues, dependencies, action items, and key performance indicators.
- Organize and facilitate project meetings, governance sessions, working groups, leadership briefings, and executive discussions.
- Prepare meeting agendas, document minutes, maintain action item trackers, develop presentations, executive summaries, and other project documentation.
- Monitor project deliverables and actively follow up to guarantee timely completion of tasks and assignments.
- Aggregate, validate, and consolidate data from various sources for project reporting and decision-making support.
- Create and update dashboards, status reports, metrics, and tracking tools to assess project health and operational progress.
- Produce regular and ad hoc reports covering project status, resource usage, workforce metrics, and program milestones.
- Support communication efforts by developing executive briefing materials and status updates for senior leadership.
- Contribute to business process enhancements, workflow optimization, and initiatives aimed at modernizing organizational procedures.
- Maintain thorough documentation including project artifacts, standard operating procedures, and operational records.
- Coordinate efforts among Testing Logistics Services, testing intake, test environment and data teams, independent testing services, quality management, and other allied groups.
Minimum Qualifications
- At least two years of relevant professional experience.
- Currently pursuing a degree in Project Management, Information Technology, Business, Healthcare Management, or a related field; relevant experience can substitute formal education.
- Familiarity with general project management frameworks and industry best practices.
- Strong analytical and organizational capabilities.
- Excellent verbal and written communication skills.
- Collaborative mindset to work effectively with project managers and team leads.
- Experience or coursework in government contracting is advantageous but not mandatory.
- Proficient with Microsoft Office 365 applications including Excel (for data analysis, reporting, dashboards), PowerPoint, Word, Outlook, SharePoint, and Teams.
- U.S. Citizenship is mandatory with the ability to successfully clear a comprehensive Government background check involving detailed paperwork and fingerprinting.
Preferred Skills and Knowledge
- Experience supporting federal government, healthcare IT, or VA-related projects.
- Understanding of project management methodologies including Agile, Waterfall, and Hybrid approaches.
- Knowledge of software development lifecycle, testing processes, quality assurance, and system implementation.
- Proficiency in developing and managing project schedules, trackers, dashboards, and performance reporting.
- Ability to analyze data trends and generate insightful reports and recommendations.
- Exceptional organizational skills capable of managing multiple priorities and deadlines concurrently.
- Proven skill in coordinating activities across diverse, geographically dispersed teams.
- Experience crafting executive briefings, leadership presentations, and status reports.
- Self-driven, detail-focused, and able to operate independently with minimal oversight.
- Certifications like PMP, CAPM, PMI-ACP, Scrum Master or related project management credentials considered a plus.
