Role Overview

We are seeking a highly organized and customer-oriented Project Coordinator to join our expanding Toronto team. Reporting to the Business Line Manager, this role is crucial to managing the certification and testing projects from initiation to completion. Located onsite in Toronto, the Project Coordinator will be the principal liaison among customers, engineering teams, and internal stakeholders to ensure smooth project execution and excellent client experiences.

Key Responsibilities

  • Act as the main contact between customers, engineers, and internal teams during the project lifecycle.
  • Convey project requirements, timelines, sample requests, and technical documentation needs to clients.
  • Examine technical documents and assemble project packages ready for commencement.
  • Distribute and schedule projects to engineering personnel based on scope, priorities, and available resources.
  • Monitor project milestones to ensure timely completion of all activities.
  • Provide coordination support across Ordinary Location (OrdLoc) and Toronto Hazardous Location (HazLoc) projects.
  • Use business systems and project management software, including Microsoft Dynamics, to track assignments and progress.
  • Identify potential project risks, scheduling issues, and resource bottlenecks and facilitate their resolution.
  • Work with internal teams to resolve customer issues and maintain high satisfaction levels.
  • Participate in process improvement initiatives to enhance operational efficiency.

Qualifications

  • A post-secondary education in Engineering or related discipline, or a minimum of three years’ experience in project coordination, customer service, or related roles.
  • Strong communication skills, both written and verbal, able to effectively engage with technical and non-technical individuals.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint).
  • Exceptional organizational skills capable of managing multiple projects and priorities efficiently.
  • Attention to detail, excellent problem-solving capabilities, and strong relationship-building skills.

Preferred Skills and Experience

  • Formal project management education or certification (diploma, certificate, or training).
  • Certification from OACETT or Engineer-in-Training (EIT) status with PEO.
  • Experience with Microsoft Project or comparable project management tools.
  • Background in the Testing, Inspection, and Certification (TIC) industry.
  • Familiarity with technical documentation, such as manuals, datasheets, drawings, and product specs.
